Fostering Research Collaboration with A Research Networking System

Challenge

A top five pediatric research institution wanted to track and measure their scientific and health equity, ensure their researchers’ curriculum vites and profiles were up to date, and share this information within and across departments and with other institutions. However, their researcher data was distributed across multiple databases making it difficult to track and share. The institute sought a solution that would allow them to access their researcher data in one location and support the development of a balanced scorecard for their faculty. Research networking systems were identified as a technology solution that would provide a single data source and foster collaboration within and across institutions by providing access to, and sharing of, researcher profiles and their expertise.

Approach

Forum Solutions helped the institute select and implement a research networking system (RNS) that matched their needs.

1.      We identified best practices related to research networking and collaboration, informed by our healthcare research expertise and interviews with peer institutions.

2.      We led our client through a selection effort for a research networking system solution that best fit their functional, technical, and budget requirements, by designing and managing a competitive RFP process.

3.      Once our client selected a solution, we led the implementation effort. We introduced a project structure that supported an agile approach to delivering software, enabling our client to realize value quickly. Through iterative and collaborative planning sessions and regular progress reviews, we built and sustained alignment with project goals throughout the implementation timeline. The agile approach facilitated the early detection of potential issues and allowed for timely adjustments, ensuring that the implementation remained on track and met the client's objectives. Getting the system into the hands of users early ultimately cleared the path for successful adoption.

Key Deliverables during the implementation phase

  • Integrated Project Workplan detailing milestones, owners, tasks, and dependencies on other enterprise efforts, which impacted the project timeline and availability of critical IT resources.

  • A RAID (Risks, Assumptions, Issues, Decisions) log to track issues and decisions that required input from the project Governance team.

  • A comprehensive Change Management Plan to support organizational readiness and lay the foundation to sustain adoption of the new RNS users.

  • A Communication Plan to keep all stakeholders informed and engaged throughout the project.

  • Training to equip users with the necessary skills to utilize the new system effectively.

Results

The RNS was implemented on time and on budget thanks to the integration of project management best practices throughout the project. Incorporating change management tools and practices early in the project created a buzz in the organization, raised awareness among key leaders, and paved the way for a smooth transition.

Thanks to the RNS implementation, this pediatric research institute now has a clear view into areas of expertise and focus by researcher. This information allows them to evaluate their researchers’ productivity. Researchers in turn have increased access to collaboration opportunities within and outside their institute to improve research outcomes, and a greater chance of getting credit for potential discoveries, ultimately accelerating their career progression.
