Returning to the Office Post Pandemic
Challenge
The onset of the COVID-19 pandemic abruptly sent most workers in large corporate work environments home. As some regions begin transitioning back to traditional offices, ensuring a safe and healthy return to work has become a top focus. Forum Solutions partnered with a large multi-national organization on a COVID-related employee safety initiative. The client needed to re-open individual sites safely while following local guidelines in each region. Within this "Return to the Office" initiative, Forum took on the challenge of ensuring the processes and procedures were followed and effective at keeping employees safe.
Solution
The client developed COVID-motivated policies to protect the health of their employees and implemented large-scale safety measures. Forum partnered with the global program team and liaisons at each site to build a global program to monitor and audit policy adherence. The program included new processes to manage the audits, identifying technologies to support the audits, and building a reporting mechanism to quickly share actionable data with stakeholders. Effectively communicating this data to support quick and effective decision making helped the client continue to iterate and improve their ability to keep their employees safe and healthy in the wake of changing regional and national requirements.
Results
The data produced by the auditing program allowed the company to quickly understand how employees were adhering to COVID policies. One comprehensive report was created that provided one source of truth for the data while allowing decision makers at different levels take action. At the individual site level, Facilities Managers are able to know which rooms need additional hand sanitizer or off-schedule cleaning and maintenance. Using the same report, region or company-level reporting enables leadership to make broad refinement to companywide COVID policies. For example, if social distancing is not consistently being observed in lobbies, leadership may initiate re-education of reception staff on the social distancing policies and add additional signage to those areas. This audit and reporting program enables the data produced to be directly and immediately actionable, allowing this company to continue to ensure the safety of its employees.
