Clinical Data Entry Solutions Roadmap for a National Integrated Healthcare Organization

Challenge

A national healthcare organization realized that 50% of a provider’s time was spent entering data into an Electronic Medical Record (EMR) system which took valuable time away from their patients. This organization’s leaders were concerned that the burden was contributing to provider burn-out, low morale, providers reducing their work schedules, and ultimately leaving or retiring prematurely.

There are a variety of solutions focused on reducing or eliminating the burden of data entry, from manual scribes to the use of advanced machine learning voice recognition. Before making a decision on how best to proceed, the client wanted a better understanding of their organization’s requirements and a holistic understanding of the available solutions.

Additionally, the client had previously launched several stand-alone pilots to better understand some attractive solutions but lacked a systematic evaluation of the results produced and didn’t have the internal capability to complete the evaluation in time for inclusion in the annual budget. They decided they needed a solutions roadmap for Clinical Data and Order Entry where they could see where they are today and where they want to go in the future.

Solution

Forum Solutions worked with the client’s senior advisory board to first evaluate the pilots and then to evaluate specific solutions, from deploying scribes in primary and specialty care to advanced voice-to-data applications. Solutions were evaluated across a variety of criteria co-developed by the Forum team, including the provider experience, ability to affect provider work-life balance, clinical quality, and patient experience.

Next, solution providers were engaged to fully understand each solution’s value proposition in the context of the client’s needs. Data was collected from other regions and a national literature review helped round out the analysis. A workshop was held with the advisory board to present findings and a draft the roadmap, refining it with feedback from clinicians. The final roadmap delivered both a comprehensive view of the solution landscape and a specific approach for implementation.

Along the way, we highlighted the need and took first steps to build a value model for these solutions, a key area where thinking is evolving around provider productivity, clinical workflow design, and patient outcomes.

Results

The client has a roadmap customized to their situation, a better understanding of the value of each solution relative to their needs and confidence in their path forward to addressing this pressing problem.
